Executive Assistant

Location: Miami, FL (On-Site / Full Time)

ALEXIS, a leading women’s ready-to-wear brand, is seeking a highly experienced and dynamic Executive Assistant to support C-level executives and help manage key operations across the company. This individual must be polished, adaptable, resourceful, and thrive in high-pressure environments with tight deadlines.

The ideal candidate brings 6+ years of experience supporting high-level executives , preferably within the luxury fashion, hospitality, or creative industries. This person will act as a gatekeeper, liaison, and right hand to the leadership team, ensuring that day-to-day operations and major projects run smoothly.

Key Responsibilities:

  • Serve as the primary point of contact and gatekeeper for C-level executives, ensuring seamless communication and protecting their time and focus
  • Manage complex, high-volume calendars, prioritizing meetings and last-minute changes with discretion and efficiency
  • Coordinate detailed domestic and international travel, including flights, accommodations, dining, and ground transportation
  • Build, maintain, and manage budget trackers for events, projects, and executive travel
  • Support retail store openings by managing timelines, vendor coordination, shipments, staffing, and budgets
  • Plan, execute, and oversee all company events—including office activations, store events, internal celebrations, and external client functions
  • Plan and manage monthly team-building events
  • Manage all vendors and service providers across departments, ensuring deliverables and quality standards are met
  • Serve as the primary point of contact for IT services and contractors
  • Assist with planning and logistics for domestic and international trade shows, including booth setup, accommodations, transportation, reservations, logistics, supplies and materials
  • Lead onboarding and offboarding processes for employees, including IT setup, welcome kits, training and scheduling
  • Screen resumes, own the interviewing process, and find ideal candidates for all necessary positions
  • Negotiate favorable terms with vendors and suppliers
  • Organize, review, and track key company documents, executive files, and sensitive contracts with absolute confidentiality
  • Support internal team operations and office management tasks as needed
  • Execute ad hoc personal and professional tasks for executives, often with little direction and tight turnaround
  • Continuously identify ways to improve organizational efficiency and communication across teams
  • Anticipate needs and solve problems independently with a can-do, no-excuses mindset

Qualifications:

  • Minimum 6 years of Executive or Personal Assistant experience, supporting high-level leadership
  • Experience working with high-profile or luxury clients is essential; fashion industry background highly preferred
  • Exceptional organizational and multitasking skills; able to juggle multiple priorities under intense pressure
  • Strong written and verbal communication skills with professional and poised demeanor
  • Extremely detail-oriented, with a proactive approach to problem-solving
  • High level of discretion and judgment when handling confidential information
  • Positive, upbeat attitude with the ability to motivate others and remain calm under pressure
  • Tech-savvy and proficient in Microsoft Office, Google Workspace, and task management tools
