Daily Business Function of CCO Office:
Assist Chief Clinical Officer (CCO) and the Assistant Chief Clinical Officer (ACCO) of administrative duties including managing complex & confidential correspondence, facilitates meetings, assists with Physician Credentialing/Privileging processes to ensure compliance with the Joint Commission accreditation and Center for Medicare Services (CMS) standards. Assist in collecting and analyzing quality indicators for physician as a part of privileges (FPPE and OPPE) required by the Joint Commission.
Communicates decisions & directions from CCO/ACCO to clinical & medical staff, conveys rules & operating procedures to medical staff, track compliance mandates & notifies staff of deficiencies, provides notification to staff of policy changes, facilitates committees, assist with managing medical staff’s Continuous Medical Education program & monitors training reports. Coordinates conferences schedules. Maintains physician coverage schedule & monitors the coverage needs of the facility. Coordinates and manages the Medical Doctor on Call (MOD) schedule. Responsible for management and coordination of Psychiatry Residents and Medical Students clinical rotations to include coordinating rotations with multiple universities, obtaining required documentation, assigning preceptors, providing orientation and scheduling required trainings. Serves as liaison between CCO and the medical staff, Departments of Psychology, Social Service, Occupational Therapy (OT), Pharmacy, Adjunctive Therapy (music therapy, volunteer services) and SAMI.
Utilizing Microsoft Business Office Software Applications, prepare PowerPoint presentations, demonstrate proficiency in Microsoft Excel graphs, pivot tables, data tables, merging data, data analysis and reports. Demonstrate proficiency in Microsoft Word to prepare crucial medical & administrative documents, design and create electronic forms and templates, create memos and routine business letters. Performs administrative tasks (e.g., prepares confidential correspondence and/or reports, maintains files, maintains calendar, make travel arrangements for CCO/ACCO). Handles sensitive phone calls and channels calls to appropriate parties for response. Schedules and coordinates meetings for the CCO/ACCO.
Assists in formulation, implementation, and transcription of clinical policies. Manages and coordinates the daily concurrent review process. Provide administrative support, including electronically recording/taking notes to transcribe minutes utilizing Microsoft Word. Requiring knowledge & skill in use of medical, legal, & statistical terminology; format and make corrections to minutes prior to distribution; prepare materials/documentation/reports for upcoming meetings; provide notifications for reporting/follow-up on behalf of committees; maintain committee materials/documentation including binders of all committee meeting minutes, agendas & reports.
Coordinate specific functions under CCO’s authority, reconciles call-offs with physician’s calendar, prepare agendas and scribes for Pharmacy & Therapeutics Committee, Provision of Care Committee, Morning Report, and other committees as assigned by CCO/ACCO. Back-up scribe and support for Credentialing and Privileging Committee, Medical Staff Executive Committee, Physician Staff, General Medical Staff meetings and Morbidity and Mortality Reviews, (i.e., records, transcribes, disseminates, & maintains minutes), performs timekeeping functions for medical staff, maintenance of records and reconciliation in regard to timekeeping for clinical contractors (i.e., In Genesis); prepares & authorizes requests to purchase (E-RTP) & storeroom orders (E-REQ). Research & respond to verbal/written inquiries & complaints, provides information & explains clinical programming to public & consumers. Develops & administers special projects as assigned, such as Pandemic and/or COVID tracking of supplies, patient/employee/visitor screening data, along with preparing cumulative report of COVID tests results for the Medical Staff and Medical Executive Committee, as required. Complete other duties as assigned.
Research, compile, analyze & monitor essential quality assurance data as assigned by CCO/ACCO. Transcribe Departmental Quality Assurance Performance Improvement Plan and associated documents. Research & provide clinical information to CCO to aid in decision making. Research policies & procedures dealing with clinical services & patient care. Assists CCO in new program development, special project proposals, attend task force committees (local and statewide) and assist in implementing program policies.
