Job Description
The Payroll Specialist is responsible for the accurate and timely preparation, entry and submission of the school payroll on a bi-weekly basis. This person will maintain employee payroll records including salary, deductions, contributions and garnishments. The Payroll Specialist must maintain the utmost confidentiality in all interactions with staff.
• Prepare and process bi-weekly payroll.
• Set up and maintain all employee and employer deductions, contributions and direct deposits.
• Prepare and transmit all employer and employee contributions for retirement 403(b), medical, dental, life, and disability insurances.
• Assists in processing all insurance changes upon termination or death of an employee.
• Manage and track employee status changes including leaves, resignations and retirements.
• Process and maintain all Personnel Action Forms upon appointment to positions in relation to policy/contract/budget.
• Assists with managing employee and retiree enrollments in all eligible benefit plans and establish annual open enrollment periods.
• Update all employee and retiree status changes.
• Assists with managing enrollments and percentage contributions in the Massachusetts State Retirement and Massachusetts Teachers Retirement systems.
• Facilitate retirement, service buy-back and withdrawal applications for employees.
• Ensure approved pay rate increases are initiated timely and accurately.
• Maintain accurate records of various pays including longevity and stipends.
• Determine, enter and verify end-of-year adjustments such as lump sum payments and encumbrances.
• Prepare salary schedules for certified and non-certified personnel as directed.
• Complete employment verifications and requests for salary and benefit information as needed.
• Maintain knowledge of rules and laws which govern the payroll administration practices.
• Ensure compliance with federal and state wage/hour laws and personnel related regulations.

3-5 years’ experience or Bachelor’s degree preferred
Municipality experience is preferred but not required.
• Experience and working knowledge of financial software (iVisions or similar software)
• Knowledge of federal and state regulations that govern wage, hour and benefits administration
• Knowledge of Mass State Retirements and Mass Teachers Retirement Systems
• Strong organizational, customer service and multi-tasking skills
