Classification Summary The Library Assistant I will perform responsible, paraprofessional library work. The work involves oversight of circulation services to include the maintenance of our patron database, processing of library materials, and answering reference queries; all while providing excellent customer service. The Library Assistant I will assist in providing programming for all ages. This position involves competing demands, performing multiple tasks, and working to deadlines. Work is performed within the policies established by the Village of Ruidoso. This is a full-time position that will regularly work 40 hours per week which may include weekends and holidays. May be called in when needed. The schedule may be adjusted based on the needs of the department. The incumbent of this position must be able to adapt to a flexible work schedule as established by the Library Manager. This position is non-exempt and works under the supervision of the Library Manager.
Duties and Responsibilities DUTIES AND RESPONSIBILITIES: Essential Job FunctionsThe essential functions or duties listed below are intended only as illustrations of the various types of work that may be performed. - Regular attendance is an essential function of this job to ensure continuity of services.
- Maintains the patron database ensuring that check ins and check outs, reserves, record creation and updates and fine collections are done accurately and in a timely manner.
- Sorts and shelves library materials.
- Responds to reference queries, Interlibrary Loan and book purchase requests, issues of concern or explanation regarding services, processes, procedures, and Library Policies, use of computers as well as location and retrieval of information to provide appropriate level of assistance and response.
- Assists with planning, preparation, advertising and conducting of library programs.
- Processes library materials for proper placement on library shelves to include covers, barcodes, security strips and labels.
- Processes Interlibrary Loan Request utilizing ILLIAD the (Integrated Interlibrary Loan System) through the New Mexico State Library.
- Performs daily reconciliation of cash collected for fines and copies and makes deposits to the Finance Department. Maintains petty cash fund in accordance with Village of Ruidoso Policy and Procedures.
- Prepares and distributes Library Newsletters and flyers utilizing varied software applications.
- Performs a variety of research and support activities and assists with special projects as required.
- Provides routine and care maintenance of library equipment as needed and directed to meet established goals.
- Using professional reviews and using the Library's Collection Development Policy, recommends materials for purchase.
- Provides excellent customer service to patrons and works with other library staff to create an environment that encourages learning, literacy, and the use of the library.
- Establishes and maintains professional and courteous working relationships with children, parents, co-workers, supervisors, and other Village Personnel.
- Works with a variety of software and database program applications to include the Biblionix Integrated Library System, Apollo, Microsoft Office 365, Mango Languages, El Portal and other proprietary databases.
- Must maintain a working knowledge of library computer software such as Microsoft Office and software platforms such as those used for Face Book, Instagram, and Overdrive.
- Maintains working relationships with the Art Council, Ruidoso Public School District, and other community organizations.
- Complies with State of New Mexico Library Laws and Regulations, and the American Library Association's Bill of Rights, Code of Ethics, Freedom to Read statements.
- Adheres to safety practices and standards and attends safety meetings and trainings.
- Must exercise good judgement, courtesy, and tact when dealing with patrons in person and over the phone and with proper disposition of problems.
- Must maintain professional level writing skills and be able to understand and follow procedures and guidelines.
Other Responsibilities or Job Requirements - Completes personal timesheet on the Employee Self Service website making sure it is done accurately and in a timely manner. Ensures time reported is based on actual time worked.
- Ensures that any on-the job injury is reported immediately following the Village of Ruidoso Policies and Procedures and followed up with appropriate forms and actions
- Ensures any reports of harassment are immediately reported and appropriate actions are taken.
- Reports any suspected fraud and or abuse to the Director, Village Manager or Deputy Village Manager.

Physical Demands - Ability to maintain physical condition and stamina appropriate to the performance of assigned duties and responsibilities which may include sitting, standing, or walking for extended periods of time, driving, riding in vehicles.
- The usual requirements require the ability to stand for three hours at a time, lift up to 25 lbs., and push a loaded book truck weighing 120 lbs.
- Work may require lifting boxes of supplies, equipment, and occasional adjustment of office furniture.
- Position requires frequent bending, reaching, squatting, and lifting. The employee may occasionally work in moderately high places.
- Specific hearing abilities required by this job include computer pings and public conversation.
- Vision abilities required by this job include close vision, color vision, and the ability to adjust focus.
Work Environment - Ability to drive, occasionally long distances.
- Work is performed in a library and office setting.
- Ability to perform duties and adapt to flexible work schedules as established by management.
- Ability to work in stressful environment and deal effectively with stress.
- The noise level in the work environment is normally quiet to moderate pitch.
Travel Requirements Limited travel - ability to travel for activities such as classes, and workshops in and out of the service area.
Minimum Qualifications MINIMUM QUALIFICATIONS High School Education or Equivalent required and one (1) year of paraprofessional support experience in an academic, public, or special library preferred. Previous library work with computerized information systems, children, and customer service preferred. Current knowledge of Library practices within the last five years preferred, and experience working with the public preferred.
Must be able to pass regular criminal history checks and must be willing to take and pass a drug/alcohol test and comply with agency "Drug Free" Policy.
Licenses and/or Certification Must possess and maintain valid New Mexico motor vehicle operator's permit of appropriate classification and endorsement as required. Must agree to maintain a satisfactory MVR and minimum requirement of insurability as required by law. MVR background checks will be conducted by the Village.
Knowledge, Skills, and Abilities Knowledge of: Dewey Decimal classification system, machine readable cataloging (MARC) tagging, library cataloging conventions, and Library of Congress Subject Headings; principles, techniques and practices of effective and respectful customer service; occupational and environment safety and health hazards, and safety practices; principles and practices of safe cash handling techniques; appropriate business English, including spelling, grammar and punctuation; business and personal computers, related software applications, and report generation; records management principles and record keeping practices of Village organization; use of contemporary library technology and online catalogs; the Library Bill of Rights.
Skills in: using initiative and independent judgement within established procedural guidelines; reading, understanding, and applying policies; procedures and applicable rules and regulations; applying correct English usage, grammar, spelling and punctuation; performing mathematical calculations; effectively communicating information and responding to questions from the public and employees; operating various types of office equipment and a personal computer with installed generic and specialized software; conducting research, updating information and maintaining records and files in various mediums and formats; reviewing and verifying data, calculations, and documentation; maintaining accurate and timely records; preparing and presenting information in a clear and concise manner; demonstrating effective interpersonal communication.
