Job Description
Metro is seeking a
Division Clerk that is responsible for providing assistance in coordinating the daily functions and administration of the Transit Operations Department with professionalism, efficiency and effectiveness. Employees holding this position will be cross-trained to perform Division Clerk and Board Clerk functions.
JOB DUTIES - Answer the telephones in the Clerk's office, taking and logging calls from Operators marking-off and recording these in the log, on the board, and noting the time and whether they are marking-off for sick or personal time
- Follow Board rules and approved processes when assigning work when filling day-off work
- Replenish headway sheets for the Operators during 3rd shift
- Issue the respective routes to Operators serving on show-up duty
- Inform Operators regarding revisions connected to the daily operation of all runs, and specials, including but not limited to: detours, change in fare, zone charges, passenger counts, mileage and special assignments
- Fill open daily personnel requirements of the Division including determining the extent of the need to call in off-day personnel
- Advise management of additional pay resulting from a delay, accident report, and show-up time
- Maintain daily records to track the hours actually worked by part-time Operators and advise management of the most advantageous time to deny work to a part-time Operator in order to maintain the policy concerning maximum hours paid
- Maintain an accurate and up-to-date list of the phone number and address of each Operator
- Assign a miss-out for any Operator who fails to plug at or prior to the plug time of the assigned run. Record each miss on the daily log and on the board

- Determine Operators' compliance with Uniform Policy. Advise manager on duty if Operator is not in uniform
- Monitor and advise management regarding the suspicious behavior of any Operator who appears to be under the influence of drugs and/or alcohol.
- On weekends-perform the duties of both Dispatch Clerk and Board Clerk
- Receive Operator accident and incident reports and review all reports for accuracy and completion before releasing the Operator for the day. Input accident report into computer database
- For any lost articles turned in, follow Metro's Lost & Found Policy
- Assist Division Operator and Clerk positions in the run/assignment picking process as needed
- Monitor and make changes in the log, board and computer to assure effective and efficient dispatch of runs
- Monitor and make the changes in school paddles, assignment sheets and headway sheets to assure efficient dispatching of runs
- Return all lost Metro senior citizen cards, monthly passes, etc. to the Metro sales department daily
- Prepare any necessary paperwork to be sent to the administrative office and ensure it is sent out in the interoffice mail system
- Communicate detours and road closures to Operators
- Assign Operator relief vehicles, as needed
- Other duties as assigned
QUALIFICATIONS Education
- High School graduate or GED; Associate degree (2-year college degree) preferred
Experience
- 3-years of transportation operations experience preferred
- Experience with rotating shift/run assignment boards is strongly preferred
SKILLS & ABILITIES - Provide excellent customer service to callers, passengers, Operators and visitors to the Division
- Ability to work as part of a team
- Ability to function under high-pressure situations
- Ability to perform multiple tasks and processes concurrently
- Able to operate a computer and other office equipment
- Understand skills
- Good organizational skills of Metro policies, rules and regulations or ability to learn and retain
- Work all shifts as needed
- Ability to sit for extended periods in closed room
