Job Description
Job Purpose: The Senior Bookkeeper within Family Office Services (FOS) serves as the lead financial operations resource supporting our Personal Chief Financial Officer (pCFO) division. This role is responsible for independently managing the entire bookkeeping cycle, including complex reconciliations, financial reporting, and light accounting tasks. The position also acts as a technical mentor to staff and collaborates with internal advisors and external CPAs to ensure accuracy, efficiency, and compliance across all client accounts.
Principal (Essential) Duties:
1. Manage full-cycle bookkeeping and accounting activities in QuickBooks Online:
a. Categorize and reconcile complex spending transactions across multiple entities.
b. Create and maintain detailed charts of accounts aligned with client needs.
c. Reconcile bank accounts, credit cards, loans, and investment accounts monthly.
d. Record and review journal entries for complex and non-standard transactions.
e. Manage general ledger and ensure accuracy and completeness.
f. Generate, customize, and interpret comprehensive financial reports for CPAs, clients, and internal teams.
g. Handle month-end and year-end close process.
2. Prepare, analyze, and review custom monthly and periodic financial reports, budgets, supporting schedules, and general ledger reconciliations.
3. Process and oversee transactions including account maintenance, complex reconciliations, and documentation management.
4. Organize and prepare financial records to support tax filings, collaborating directly with CPAs to ensure compliance and maximize tax efficiency.
5. Proactively interact with clients' CPAs, attorneys, and internal advisors to coordinate tax strategies and resolve accounting queries.
6. Support and mentor FOS team members by resolving escalated issues and providing guidance on complex tasks.
7. Execute bill payment processes when needed and invoice management while enforcing controls to prevent overpayment, unauthorized payments, and expense abuse.
8. Identify and implement process improvements to streamline workflows and enhance the use of software systems.
9. Manage and execute payroll processes, including new enrollments, payroll tax filings, and compliance with state and federal regulations.
Secondary Duties:
1. Provide phone/email backup coverage as needed.
2. Lead initiatives to optimize the efficiency and accuracy of current software systems.
3. Perform other related duties and projects as assigned.
4. Support broader FOS objectives with related tasks and special projects.

11. Able to oversee, track, and resolve issues independently.
12. Able to identify inefficiency with software programs and implement creative ways to increase efficiency.
Experience & Education Requirements:
1. Bachelor's Degree in accounting, finance, or related field required.
2. Minimum of six (6) years of experience within an accounting or bookkeeping role required; eight (8) years preferred.
3. Minimum of four (4) years of experience with full-cycle accounting and/or bookkeeping entries required.
4. Minimum of four (4) years of experience with QuickBooks online required; six (6) years preferred.
5. CPA, Enrolled Agent, or another advanced accounting credential preferred.
6. QuickBooks Online Certification preferred.
7. For hires outside of Bridgeville, PA an in-office training requirement may be required. This will be discussed during your interview process in more detail.
