We are seeking a dynamic and detail-oriented Permanent AR Specialist to join our fast-paced manufacturing team. This role will play a critical part in our finance department, ensuring that all invoices are issued accurately and promptly. The ideal candidate will have a strong background in Accounts Receivable (A/R), invoicing, collections, reconciling accounts, and managing entries. As a Permanent Billing Specialist, you will be instrumental in maintaining our financial health and ensuring the smooth operation of our billing functions. This is an excellent opportunity for a seasoned professional with more than 5 years of experience to further their career in a thriving and supportive environment.
Responsibilities:
- Oversee and streamline billing and collections processes
- Issue and post bills, receipts and invoices
- Check the validity of debit accounts
- Update accounts receivable database with new accounts or missed payments
- Ensure all clients remain informed on their outstanding debts and deadlines
- Provide solutions to any relative problems of clients
- Write thorough reports on billing activity with clear and reliable data
- Perform account reconciliations
- Maintain and review customer files, including contracts, purchase orders, and correspondence
- Prepare, verify, and process invoices for sales or services rendered
- Enter data on invoices; ensure proper coding on documents
- Collect on accounts by sending invoice reminders and communication with customers via phone, email, fax or mail
- Monitor the accounts receivable aging report; identify outstanding account balances
Qualifications:
- Bachelor’s degree in Finance, Accounting, or related field
- 5+ years’ experience in a similar role within the Manufacturing industry
- Proficiency in Microsoft Office Suite with exceptional skills in Excel
- Knowledge of billing procedures, familiarity with A/R and invoicing
- Proven experience in collections, reconciling accounts, and managing entries
- Strong ability to analyze and solve problems
- Excellent communication, interpersonal and negotiation skills
- High degree of accuracy, attention to detail and confidentiality
- Ability to work independently, as well as part of a team
- Excellent organizational skills and the ability to prioritize tasks
- Ability to effectively manage time, meet deadlines and work under pressure
- Knowledge of applicable laws and regulations related to billing and collections
- Proven ability to manage and coordinate multiple projects in a fast-paced, highly professional environment.
